1. Reservation & Payment
A 50% deposit is required at the time of booking to secure a spot. The remaining 50% is due at check-in unless stated otherwise in writing. A reservation is not considered confirmed until the deposit has been received.
2. What’s Included
Retreat pricing includes lodging, scheduled meals, local transportation as outlined, group activities, and designated content-creation sessions. Inclusions may vary by retreat and will be clearly listed on the retreat information page.
3. What’s Not Included
Participants are responsible for personal expenses, discretionary purchases, additional transportation, medical costs, travel insurance, and any optional activities not listed as included.
4. Cancellation & Refund Policy (Participant-Initiated)
Cancellations must be submitted in writing.
• 14 days or more before the retreat start date the deposit is fully refundable.
• Within 14 days of retreat start the deposit becomes non-refundable.
Participants may request to transfer their spot to another qualified attendee with organizer approval. Approval is not guaranteed.
5. Cancellations & Changes by Organizer
The organizer reserves the right to modify or cancel the retreat due to circumstances beyond reasonable control, including but not limited to weather events, venue issues, safety concerns, or insufficient enrollment. In such cases, participants will receive either (a) a full refund of all payments made, or (b) the option to transfer to another retreat date. The organizer is not responsible for participant travel costs or other associated expenses.
6. Participant Conduct
Participants are expected to behave respectfully toward other attendees, staff, and property. Harassment, disorderly conduct, or property damage may result in removal from the retreat without refund. Participants may not record, film, or photograph other attendees without their express consent.
7. Intellectual Property & Content Ownership
All content created by participants during the retreat—including photos, videos, and behind-the-scenes material—remains the property of the creator who produced it unless mutually agreed otherwise.
Participants must obtain consent directly from any individuals featured in their content and are responsible for any record keeping requirements.
The organizer may capture general retreat photos or videos for marketing purposes. Participants who prefer not to appear in such materials may opt out in writing before the retreat.
8. Privacy & Confidentiality
Participant information will be handled confidentially and used only for retreat operations, communication, and required documentation. Attendee names and identifying information will not be shared externally without consent.
Attendees may be tagged or referenced in social media and marketing materials, but only by their scene name or the appropriate social media handle. Participants who prefer not to appear in such materials may opt out in writing before the retreat.
9. Health & Safety
Participants confirm they are physically able to engage in retreat activities and responsible for managing their personal medical needs. The organizer is not liable for injuries or health conditions arising from participant activities, negligence, or failure to follow safety instructions.
10. Personal Property & Equipment
Participants are responsible for securing and monitoring their own equipment, personal belongings, and valuables. The organizer is not responsible for loss, theft, or damage.
11. Lodging & Room Assignments
Lodging details will be provided prior to the retreat and organizers will make room assignments upon check in. Shared accommodations may apply depending on the retreat format. Requests may be considered but cannot be guaranteed.
12. Travel Delays & Missed Portions
The organizer is not responsible for delays, missed sessions, or unused portions of the retreat due to participant travel issues or personal scheduling conflicts. No refunds or credits will be issued for missed time.
13. Liability Waiver
By attending the retreat, participants acknowledge and assume all risks associated with lodging, travel, physical activities, filming, and general participation. The organizer is released from liability for injury, loss, or damage except in cases of gross negligence.
14. Photography & Filming Guidelines
Quiet hours, shared-space rules, and scheduling limitations may be implemented to ensure a smooth experience for all attendees. Participants must comply with any onsite filming, noise, or safety guidelines set by the organizer.
15. Dispute Resolution
Any disputes arising from these terms will first be addressed through informal resolution between the participant and the organizer. If unresolved, the matter will be governed by the laws and jurisdiction of the state of New York.
